If you use both Gmail and Outlook, constantly switching between two email clients quickly becomes frustrating. The good news is that Outlook for Windows lets you add your Gmail account directly alongside your existing Microsoft accounts, so you can read, send, and manage all your emails from a single application. Whether you have a personal Gmail address you want to keep an eye on, or your business runs on Google Workspace while your clients use Microsoft 365, connecting the two takes less than ten minutes once you know the steps.
\n\n\n\nWhat You Need Before You Start
\n\n\n\nBefore you begin, make sure you have the following in place. Trying to add Gmail without these will result in authentication errors or a failed connection.
- \n
- A Google account — a standard @gmail.com address or a Google Workspace email address will both work. \n\n\n\n
- Outlook for Windows (desktop app) — this guide covers the classic Outlook desktop application. Outlook on the web has limited support for adding external accounts, so the desktop app is strongly recommended. \n\n\n\n
- IMAP enabled in Gmail — Gmail uses IMAP to allow third-party applications to connect. This is turned off by default on some accounts and must be enabled manually before Outlook can pull your messages. \n\n\n\n
- An app password (if you use 2-step verification) — Google blocks standard password logins from third-party apps when 2-step verification is active. You will need to generate a dedicated app password instead. \n
Step 1: Enable IMAP in Gmail
\n\n\n\nIMAP is the protocol Outlook uses to access your Gmail messages. Without it enabled, Outlook cannot connect, even if your account credentials are correct. Here is how to turn it on.
\n\n\n\n- \n
- Open Gmail in your browser and sign in to the account you want to add to Outlook. \n\n\n\n
- Click the Settings cog in the top-right corner, then click See all settings. \n\n\n\n
- Select the Forwarding and POP/IMAP tab. \n\n\n\n
- Under the IMAP access section, select Enable IMAP. \n\n\n\n
- Scroll to the bottom and click Save Changes. \n
Once saved, your Gmail account is ready to accept incoming connections from Outlook. You do not need to restart Gmail or your browser.
\n\n\n\nStep 2: Generate a Google App Password
\n\n\n\nIf you have 2-step verification turned on for your Google account (which Google now enables by default for most accounts), you cannot use your regular Google password in Outlook. Google deliberately blocks standard password logins from third-party apps as a security measure. Instead, you generate a one-time app password that Outlook uses exclusively.
\n\n\n\n- \n
- Go to myaccount.google.com and sign in. \n\n\n\n
- Click Security in the left-hand navigation. \n\n\n\n
- Under the How you sign in to Google section, click 2-Step Verification. \n\n\n\n
- Scroll to the bottom of the page and click App passwords. (If you do not see this option, 2-step verification may not be enabled — skip to Step 3 and use your normal Google password instead.) \n\n\n\n
- In the app name field, type something descriptive like Outlook and click Create. \n\n\n\n
- Google will display a 16-character password. Copy this password now — you will only see it once. Paste it into a notepad temporarily so you can use it in the next step. \n
This app password gives Outlook secure access to your Gmail without exposing your main Google password. If you ever need to revoke access, simply delete the app password from your Google account settings.
Step 3: Add the Gmail Account to Outlook
\n\n\n\nWith IMAP enabled and your app password ready, you can now connect Gmail to Outlook. The process takes just a few clicks.
\n\n\n\n- \n
- Open Outlook on your Windows PC. \n\n\n\n
- Click File in the top-left menu, then click Add Account. \n\n\n\n
- Enter your full Gmail address (for example, yourname@gmail.com) and click Connect. \n\n\n\n
- Outlook will detect that this is a Google account and open a Google sign-in window. Enter your Gmail address again and click Next. \n\n\n\n
- When prompted for a password, enter the 16-character app password you generated in Step 2 — not your regular Google password. Click Connect. \n\n\n\n
- Outlook will verify the credentials and set up the account. Click Finish once the confirmation screen appears. \n
Outlook will now begin syncing your Gmail messages. Depending on how many emails you have, the initial sync can take a few minutes or longer for large inboxes.
\n\n\n\nWhat Happens After You Connect
\n\n\n\nOnce syncing completes, your Gmail inbox and folders will appear in the Outlook left-hand sidebar underneath your other accounts. At first glance, a few things may look unfamiliar.
\n\n\n\nGmail and Outlook organise email differently. Gmail uses labels, while Outlook uses folders. When you connect via IMAP, Gmail labels are mapped to folders in Outlook. So if you have a label called “Work” in Gmail, it appears as a folder called “Work” in Outlook. The All Mail folder in Gmail contains every message including those you may have archived, and this often appears in Outlook as a very large folder — it is safe to ignore it if you prefer to navigate by label-based folders instead.
\n\n\n\nYour Gmail Sent Items, Drafts, and Trash folders will also sync and appear in the correct Outlook equivalents. Changes made in Outlook — such as deleting or moving a message — will be reflected in Gmail when you next open it in a browser.
\n\n\n\nSending Emails from Your Gmail Account in Outlook
\n\n\n\nOnce Gmail is connected, you can send emails from your Gmail address directly within Outlook. When composing a new message, click the From field at the top of the compose window — if it is not visible, check your account settings. You will see a dropdown listing all connected accounts, including your Gmail address. Select it before sending to ensure the email goes out from the correct address.
\n\n\n\nIf you want Gmail to be your default sending account, go to File > Account Settings > Account Settings, select your Gmail account from the list, and click Set as Default. This also ties in nicely with keeping a consistent email signature set up in Outlook for each of your accounts.
\n\n\n\nSyncing Gmail Contacts and Calendar to Outlook
\n\n\n\nThe steps above connect your Gmail email to Outlook, but your Google Contacts and Google Calendar are separate services that require additional configuration. IMAP only handles email, so contacts and calendar data will not appear automatically.
\n\n\n\nFor Google Calendar, you can subscribe using a CalDAV URL found in your Google Calendar settings, or use a third-party tool like Google Workspace Sync for Microsoft Outlook (GWSMO), which is available as a free download from Google and handles email, contacts, and calendar sync in one package — particularly useful for Google Workspace business accounts.
\n\n\n\nFor Google Contacts, CardDAV sync is available but requires manual configuration. For personal Gmail accounts, the simplest option is often to export contacts from Google as a .CSV file and import them into Outlook’s People section manually.
\n\n\n\nCommon Problems When Adding Gmail to Outlook
\n\n\n\n- \n
- Authentication failure or incorrect password error — this almost always means you used your regular Google password instead of an app password. If 2-step verification is enabled, generating and using an app password resolves this immediately. \n\n\n\n
- IMAP not enabled — if Outlook cannot connect at all and keeps returning a server error, double-check that IMAP is enabled in Gmail settings. It is easy to miss the Save Changes button after enabling it. \n\n\n\n
- Emails not syncing or missing messages — check the sync settings in Outlook under File > Account Settings, then review the server settings and sync frequency. Also check that Outlook is not stuck in offline mode — look for “Working Offline” in the status bar at the bottom of Outlook. \n\n\n\n
- Slow initial sync — large Gmail inboxes with tens of thousands of messages can take a long time to sync on first connection. You can reduce the sync window by going into your account settings and lowering the number of months of mail Outlook downloads locally. \n\n\n\n
- Search not returning Gmail results — if searching in Outlook does not return older Gmail messages, it may be because those messages have not been downloaded locally yet. Allow the full sync to complete, or use the Gmail web interface to search archive messages in the meantime. \n
Frequently Asked Questions
\n\n\n\nCan I add multiple Gmail accounts to Outlook?
\n\n\n\nYes. You can repeat the process above for as many Gmail accounts as you like. Each account will appear as a separate entry in the Outlook sidebar with its own inbox and folder structure. There is no practical limit to the number of accounts Outlook supports, though very large numbers of accounts may slow down the application.
\n\n\n\nDoes Gmail sync in real time in Outlook?
\n\n\n\nOutlook checks for new Gmail messages on a schedule rather than using true push notifications. By default, it polls for new messages every few minutes. You can trigger an immediate sync by pressing F9 or clicking Send/Receive All Folders in the ribbon. The interval between automatic checks can be adjusted under File > Options > Advanced > Send/Receive.
\n\n\n\nCan I use Gmail labels in Outlook?
\n\n\n\nGmail labels appear as folders in Outlook when connected via IMAP. You can move emails into these folders from within Outlook and the label will be applied in Gmail. However, Gmail’s ability to apply multiple labels to a single message does not translate directly — Outlook’s folder model expects each email to live in one folder, so multi-labelled messages may appear in multiple places depending on your settings.
\n\n\n\nWhat happens if I change my Google password?
\n\n\n\nIf you change your Google account password, Outlook will prompt you to re-enter credentials the next time it tries to sync. If you use 2-step verification, you will need to generate a new app password from your Google account security settings and enter that in Outlook when prompted. Your old app password stops working as soon as you revoke it or change your main Google password. Simply enter the new app password when Outlook displays a login dialog and syncing will resume normally.
