Microsoft Teams Screen Sharing Not Working: How to Fix It

Microsoft Teams screen sharing problems come in several forms: the Share button is greyed out, participants see a black or blank screen instead of your content, sharing starts but freezes immediately, or you simply cannot find the option at all. The root cause varies depending on your operating system, Teams version, and meeting policy — but most issues are fixable without involving IT. This guide covers the most common causes and the steps to resolve them, for both classic and new Teams on Windows and Mac.

Check Your Meeting Policy Allows Screen Sharing

In organisations using Microsoft Teams, IT administrators can restrict screen sharing via meeting policies in the Teams admin centre. If the Share button is missing or permanently greyed out, ask your IT team to confirm that your user policy allows content sharing. The relevant setting is under Meeting policies > Content sharing > Screen sharing mode — it should be set to Entire screen or Single application, not Disabled.

Grant Screen Recording Permission on Mac

macOS requires explicit permission for any application to record the screen. Without it, Teams cannot share anything and you will typically see a black screen.

  1. Go to System Settings > Privacy & Security > Screen Recording (macOS Ventura and later) or System Preferences > Security & Privacy > Privacy > Screen Recording (earlier versions).
  2. Ensure Microsoft Teams is ticked.
  3. Restart Teams after granting permission — this is required for the change to take effect.

If Teams does not appear in the list, click the lock icon to make changes, then use the + button to add it manually from your Applications folder.

Update Teams and Your Operating System

Screen sharing bugs are frequently resolved in Teams updates. In classic Teams, click your profile picture and choose Check for updates. New Teams updates automatically, but you can verify you have the latest version under Settings > About Teams. Also ensure Windows or macOS is fully up to date.

Switch Between Full Screen and Windowed Mode

If sharing starts but recipients see a black or frozen screen, try switching Teams out of full-screen mode before sharing. Press F11 on Windows or Ctrl + Cmd + F on Mac to toggle full screen. Then attempt to share again from a windowed state.

Disable Hardware Acceleration

GPU hardware acceleration can cause blank screens or flickering during screen sharing, particularly with certain graphics drivers.

Classic Teams

  1. Click your profile picture and go to Settings.
  2. Select General.
  3. Tick Disable GPU hardware acceleration.
  4. Restart Teams.

New Teams

  1. Click the three-dot menu next to your profile picture and go to Settings.
  2. Under General, look for GPU hardware acceleration and disable it.
  3. Restart Teams.

Check Your Graphics Drivers

Outdated or corrupt GPU drivers are a frequent cause of screen sharing failures on Windows. Open Device Manager, expand Display adapters, right-click your GPU, and choose Update driver. Alternatively, download the latest driver directly from your GPU manufacturer (Intel, NVIDIA, or AMD).

Clear the Teams Cache

Check for Conflicting Applications

Some applications conflict with Teams’ screen capture — particularly other conferencing tools (Zoom, Webex), DRM-protected content windows, and certain VPN or remote desktop clients. If you are attempting to share a window and participants see black where that window should be, it is likely that the application is blocking screen capture deliberately (common with media players and some enterprise apps).

Try sharing your entire screen instead of a specific window, which sometimes bypasses this restriction.

Restart the Teams App

Fully quit Teams via the system tray (right-click the icon and choose Quit), wait 30 seconds, then relaunch. This clears any in-memory state that may be causing the share function to fail.

Test in a Meeting with Yourself

Create a new Teams meeting, open it in two different browsers or devices, and test screen sharing. This helps distinguish whether the problem is with your device’s sharing capability or with a specific meeting configuration.
