Windows 11 gives you four ways to use an external monitor or projector: extend your desktop across both screens, duplicate what is on your main screen, show only on the external display, or use only the laptop screen. Knowing how to switch between these modes quickly — especially before a presentation — is a genuinely useful skill.
The Fastest Method: Windows + P Keyboard Shortcut
The quickest way to change your display mode is with the keyboard shortcut Windows + P. This opens a panel on the right side of the screen with four options:
- PC screen only — uses only your main/laptop screen, ignores connected monitors
- Duplicate — shows the same content on all connected displays
- Extend — spreads your desktop across all connected displays as one large workspace
- Second screen only — uses only the external monitor, turns off the main screen
Press Windows + P, use the arrow keys to select your mode, and press Enter. The change takes effect within a second or two.
What Does Extend Do?
Extend is the most useful mode for day-to-day work. Your desktop becomes a larger continuous space — you can move windows and your mouse cursor from one screen to the other. Your main screen and the second monitor each show different content. This is the mode to use for productivity: keep your working document on the main screen and email or reference material on the second.
What Does Duplicate Do?
Duplicate mirrors your main screen onto the second display. Both screens show exactly the same content at the same time. This is the mode to use for presentations — your laptop shows the slides, and the projector or boardroom screen shows the same thing to the audience.
Note: When duplicating, Windows must find a resolution that works on both screens. If the resolutions are very different, the image may look slightly less sharp on one display. For presentations, this rarely matters.
Changing Display Mode via Settings
If you prefer to use the Settings app rather than the keyboard shortcut:
- Right-click the desktop and select Display settings
- Make sure both monitors are detected and shown in the display diagram
- Scroll down to Multiple displays
- Use the dropdown to select Extend these displays or Duplicate these displays
- Click Apply to confirm
Arranging the Displays for Extend Mode
When using Extend, it is important to tell Windows the physical layout of your monitors — which one is on the left and which is on the right. If this is wrong, moving your mouse to the edge of the screen will make the cursor appear on the wrong side.
- In Display settings, drag the numbered display rectangles so they match your physical desk arrangement
- Click Apply
Switching Modes for a Presentation
A common workflow for presentations:
- Plug in the projector or HDMI cable
- Press Windows + P and select Duplicate
- Open your presentation in PowerPoint
- When finished, press Windows + P again and select PC screen only
If you are using PowerPoint Presenter View (where you see your notes on your screen and the audience sees the slides), use Extend mode instead of Duplicate.
